At F. LIST FLORIDA, we have a specialized team of around 10 employees, focusing on the Air Aftermarket sector. We provide services and products for refurbishing and upgrading aircraft cabins for business and private jets, including intricate craftsmanship for repairing, refurbishing, redesigning, and modernizing high-quality aircraft furniture. 
 
We are seeking a detail-oriented and organized Administrative/Project Assistant to support our project operations in Opa Locka. This role will work closely with the Project Manager and team to ensure smooth project execution, efficient tracking, and seamless coordination of administrative tasks.

As part of our team you will...

  • maintain and update the project tracker to monitor progress and deadlines.
  • assist the Project Manager with quote creation and documentation.
  • follow up on purchase orders (POs) to ensure timely approvals and deliveries.
  • report employee and project timesheets accurately and on schedule.
  • coordinate the purchase of necessary consumables and supplies for project needs.
  • perform accurate and efficient data entry for project-related information.
  • keep track of materials inventory and coordinate ordering with the Davie location.
  • support the onboarding process for new onsite employees.
  • ensure the team uses the clocking app and provide weekly reports.

You're a good fit if you....

  • are proficient in Microsoft Excel (advanced skills preferred) and MS Project.
  • have strong organizational and multitasking abilities with great attention to detail.
  • bring experience with project tracking tools and databases (a plus).
  • demonstrate exceptional accuracy and efficiency in data entry.
  • possess effective communication skills to coordinate with internal teams and vendors.
  • can work independently while aligning with project goals and deadlines.
